Upload and reuse media
Add pictures, video and PDFs once, then pick the same file wherever you need it.
Updated 22 October 2026
Anything you upload goes into your workspace's library, where every other part of Qcom can pick it up again.
What you can upload
| Kind | Formats | Largest file | | --- | --- | --- | | Pictures | JPG, PNG, GIF, WebP, SVG | 5 MB | | Video | MP4 | 16 MB | | Documents | PDF | 100 MB |
Photos are compressed as they arrive, so what's stored is usually smaller than what you sent. Videos and PDFs get a still image made from them, which is the thumbnail you'll see in the library and in pickers.
Add a file
- Open Media library.
- Drop the file onto the upload area, or click the area and choose a file.
- Wait for the confirmation — the file appears at the top of the list.
Upload one file at a time here. Some pickers elsewhere take several at once.
Find something again
Search by file name, and use the source buttons to narrow to your own uploads, template samples, bot images or everything. Switch between the tile view and the list view with the buttons on the right, and page through 24 at a time. Sort arranges the page you're looking at.
Each file offers three things:
- Copy URL — puts the file's web address on your clipboard, for anywhere that asks for a link.
- Download — saves it back to your computer.
- Move to trash — takes it out of the library, recoverably.
Use the same file elsewhere
Wherever Qcom asks you for a picture or a file — an email or WhatsApp template, a campaign, a reply in the Inbox, your chat widget's look, a Catalog item's photo, your logo — the same chooser opens, with four ways in:
- Upload a new file, which also adds it to the library.
- Pick from the library you already have.
- Pick a Catalog item, so the picture and details come across together.
- Paste a web address for a picture that lives somewhere else.
Each chooser only offers what that spot accepts, so a slot that takes pictures won't show you PDFs.
Describe an image for reuse
In the chooser's library, open the pencil beside a file's name to edit File settings in the side panel. You can change its name and add an Image description. Describe what the image shows and what matters to the reader. This becomes the default description when you next insert the image; existing email descriptions are kept. If somebody else changes the file settings first, reopen the panel before saving.
In Email Studio, adjust the description for that particular use. Mark an image Decorative image only when it adds no information; the email then gives it an empty alternative description. Uploading an image does not require a questionnaire.
When an upload doesn't work
The format isn't one we take. We say which ones are, and nothing is uploaded.
The file is too big. The limits above are per file, and each kind has its own — a 30 MB PDF is fine where a 30 MB video is not.
Your storage is full. Uploads stop once your workspace is at its plan's storage limit. Moving files you don't need to trash frees the space straight away.
We couldn't take the file. If the upload fails for any other reason, nothing is half-saved — try again, and try a different file to tell a bad file from a bad connection.
