Review money exceptions
Check stalled payments, refunds, possible duplicates and money that could not be applied safely.
Updated 22 October 2026
Use Operations → Payments → Activity → Needs review when money needs a closer look before anyone changes a payment, refund or invoice.
What appears here
The list brings together payment requests nearing expiry, checkouts and refunds that have waited too long, possible duplicate collections, money from a connected provider that needs matching, and payments or refunds that could not be applied to an invoice.
The Needs review view keeps payment confirmations and money exceptions in one work queue. Open a row to see the details and the action available for that type of review.
Review an item
- Open the item that needs attention.
- Read what happened and the suggested next step.
- Follow Open invoice, Open order, or the available link when you need the full business history.
- For money sent from a connected provider, compare the amount and state, then match it to the right payment or refund. Reject or dismiss it only when you have checked that it should not be applied.
Matching can immediately continue payment or refund processing. Qcom reloads the item before it lets you decide, so a change made by someone else is not silently overwritten.
When money arrived but the invoice did not change
Read these as three separate facts:
- Money settled means the provider confirmed that the money arrived.
- Application held means Qcom did not apply that money to this invoice.
- Invoice status says what the invoice shows now — it may still be issued, partially paid, paid or overpaid from other payments.
Check all three before contacting the customer. A settled payment does not by itself mean the invoice is paid.
When you cannot decide an item
Someone else changed it. Close the item and open it again to see the latest details before deciding.
No matching payment or refund appears. Do not guess. Check the full payment history and leave the item open for another reviewer.
You do not have permission. Ask a workspace owner or admin. Retrying will not help.
The item is no longer listed. It may already have been sorted out. Refresh the list and check Payment Activity or the linked invoice.
