Understand stock and locations

Counted stock, reservations, and how to run several shops: one shared stock figure, or a workspace per shop with its own stock.

Updated 22 October 2026

Product stock describes how much of an item is counted for sale. A business location describes a place used by your business. Configure each for the job it needs to do.

How stock works

A product can have a counted quantity or leave stock untracked. Not tracked does not mean you physically have an unlimited supply; it means Qcom is not using a counted quantity for that item.

When stock is reserved, units are held temporarily for an operation in progress. Available stock can therefore be lower than the recorded quantity. A reservation is not, on its own, a completed sale or proof of payment.

Products with options can also have quantities on their individual variants. Check the relevant option as well as the main item when investigating availability.

Check the setup

  1. Open Catalog and choose the product.
  2. Open Edit and check its stock setting. Enter the quantity you intend Qcom to count, or leave it untracked if you are not counting that item.
  3. If the product has variants, review each variant's quantity as well.
  4. Check the item's availability and customer-facing setup before publishing or offering it for sale.

Use the stock setting consistently with the unit in which you sell the item. Do not treat a stock change as a payment record or as evidence that goods moved between locations.

Several shops or stock locations

Inside one workspace, each item and each of its variants has one stock figure. Adding a shop address doesn't split it into a count per shop.

There are two ways to run several shops:

  • One workspace, one shared figure. Every shop sells from the same count. This suits a business that restocks centrally and doesn't need to know which shop holds what.
  • A workspace for each shop. Each shop gets its own workspace with its own Catalog, stock, inboxes and team, so every shop holds and sells its own stock. The workspaces sit under one account and one subscription, and plan limits and usage are pooled across them. On the Scale plan you get your main workspace plus up to 3 more, so up to four shops; Enterprise has no fixed cap. See Create a workspace.

Stock doesn't move between workspaces on its own. When goods go from one shop to another, record the change in both workspaces.

Pickup locations and places you send goods from describe where work happens; they don't hold stock of their own.

When the quantity does not explain availability

  • Stock is not being counted. A blank stock setting is different from zero. Check whether you intended to track this item or variant.
  • Units are reserved. Available units can be fewer than the recorded quantity while reservations remain active.
  • Another rule prevents the sale. Stock alone does not publish a draft, enable customer access or complete missing checkout, delivery or payment setup.
  • A change did not save. Reopen the product and check the saved value before changing it again. If it still differs from what you saved, contact support.
  • Manage products in your Catalog
  • Manage business locations
  • About orders
