Bookings
About bookings
What a booking is, the two things you track on every one, and where bookings come from.
Updated 22 October 2026
An appointment is time you've set aside for one customer — what they booked, when it starts, and how long it runs for.
Two things to track
They're separate on purpose, and reading them as one is the usual source of confusion.
Where the booking stands. Confirmed is a booking you're both holding to. Reserved is a slot being held but not settled yet. Cancelled means it isn't happening. Rescheduled means it moved, and the new time is its own row. Expired means a hold ran out before it was settled.
Whether they turned up. Attended or No show — and until someone records one, nothing. A slot that has passed with nothing recorded is not a no-show; it just means nobody has said yet. See Record whether someone turned up.
Where bookings come from
Someone on your team writing one up on the Bookings page, or a customer booking one. Customers book through Qyra when Book appointments is on in the Inbox's Qyra settings, through a bot's Book Appointment step, through the Book button on your public Catalog, or through a WhatsApp booking form. Each way in is turned on in its own place. Every booking lands in the same list.
Staff and customer bookings
Add booking is the shared form for a single booking, a waitlist request or a repeat schedule. Choose a customer and a bookable Catalog item directly; you don't need to pick an Inbox. Catalog booking, pricing, intake and payment settings still apply. For a service outside Catalog, choose Staff entry · service outside Catalog and enter its name and length. Workspace hours and closed dates still apply to single bookings.
Choose Booking type to change the scheduling fields while keeping the customer and service you selected. Waitlist requests and new repeat schedules need a contact. A single booking can instead be an explicit Walk-in.
A customer booking is checked. The customer picks one of the services the Inbox books, and its length and times come from your business hours, or from the service's own Booking settings in Catalog when it has them. A date's special hours replace the usual times, and a closed date offers none. The booking also has to meet minimum notice and avoid another booking. The Inbox itself has no hours.
Finding your way around
The Bookings workspace has three tabs: All bookings, Waitlist and Repeat bookings. Use Waitlist to manage people waiting for a time, and Repeat bookings to manage standing appointments.
The header keeps Add booking, List and Calendar available across the three tabs. All bookings shows appointments; Waitlist shows days customers can accept a time; Repeat bookings shows appointments already created by repeat schedules. Your selected view stays the same when you switch tabs. You can search by service or contact, and narrow by date, by where the booking stands, by outcome, or to one exact service. Needs outcome brings up the ones still waiting for you to say what happened.
Export gives you a CSV of up to 10,000 rows, or a PDF of up to 500.
Booking analytics
Choose Analytics beneath Bookings in the sidebar. Select a service and a 7, 30 or 90 day period, or choose custom dates within 90 days. The cards and charts count bookings by their scheduled date and show their current states. Attendance counts apply to confirmed bookings. Waitlist and repeat charts count entries or schedules created in the selected period. An outcome that has not been recorded is shown separately from a no-show.
Who can do what
Bookings are on the Starter plan and above. Viewing needs Booking read access; creating, rescheduling, cancelling and recording an outcome need Booking write access. Support access alone doesn't allow booking work — a workspace owner or admin can assign Booking access in your team permissions.

Export a list
Choose Export for matching bookings, waitlist entries or repeat schedules. Select table rows first to export only that selection. CSV and PDF choices use the current filters when nothing is selected. Other Operations tables that offer Export page export the page currently on screen. Export limits are reported when a download is incomplete.
