Bookings

Take more than one booking at a time

Add each person, room or chair a booking uses, so several people can be booked at once and customers can ask for a specific person.

Updated 22 October 2026

Use Bookable resources for the people, places and equipment a booking needs. For example, a salon can add each chair and link those chairs to its bookable services.

A person added as a bookable resource is a scheduling entry. It does not give them a workspace login. If they need to sign in and manage work, invite them to your team separately.

Add a person, room or chair

Go to Bookings → Bookable resources and choose Add.

  • Name — what you call them. "Ama", "Chair 2", "Treatment room".
  • Group — choose an existing group, or leave it ungrouped. A group determines whether its resources are people, places, assets or something else.
  • It is — choose the classification when the resource has no group.
  • Bookings at once — one for a person or a chair. More for a room that seats a class, or a table that seats a party.
  • Days and Start / End — leave these empty and they follow your workspace hours. Set them for somebody who only works Tuesdays and Thursdays.

Link two available people who each take one booking at a time to a service, and it can offer that time twice when neither person is busy.

Ask Qyra to add a resource

For example: “Add Garden studio as a bookable room with capacity for 3 at once.” Include its group and working days or hours if needed. Qyra asks for missing details and shows the resource settings for approval before creating it.

If you leave the group out, the resource is ungrouped. It starts active unless you ask otherwise; omitted days and hours follow the booking hours. Review these settings before approving. The resource appears in Bookable resources. Link it to the Catalog items that need it in their Booking settings.

If Qyra says the name already exists, check the existing resource before choosing another name. If a group changes while you are reviewing, review the updated settings before trying again.

Which services each person does

Open the Catalog item, go to Booking → Resources, and choose its required resources. Adding a resource alone does not make it a requirement for an item.

Once you pick anyone, that service is only offered when one of them is free.

A service can also use resources chosen on its Catalog type or group. Check which resources apply to the service before testing its availability.

When a customer asks for someone

A customer booking with Qyra can ask for a person by name, such as "with Ama". Qyra books that person when they're one of the service's resources and free at that time. If not, Qyra says so and names the people the customer can choose for that service. A customer who doesn't ask gets whoever is free.

This uses the people and places created in Bookable resources and linked under the Catalog item's Booking → Resources, with no extra setting to turn on. A service with no applicable resources has no one to choose. Choosing a person by name is how it works in a conversation with Qyra; it isn't a picker on the public Catalog.

Days away

Open a person on Bookable resources and choose Days away. Their times come out of what customers are offered on those days, and everyone else's stay.

Closing for a public holiday is different — that closes the day for everyone, and you set it in your booking settings.

What it doesn't do

  • We won't share out the bookings you already had. Appointments from before you added your staff aren't on anyone, and each still takes up a place — we can't guess who did the work.
  • You can't split a party across people. Three free places across three chairs won't seat a family of three in one booking; one person or room needs room for all of them.
  • Stopping someone doesn't erase their past work. Their finished appointments keep their name.

When it doesn't work

Only one time is still being offered. Check the person is switched on — someone you've stopped shows as *not taking appointments*.

A service isn't offered at all. Open that Catalog item's Booking settings. If you've picked who can do it and none of them is working that day, nobody can take it.

A time is offered but refused when you book it. Somebody took it in between. We check again at the moment of booking, which is what stops two customers holding one chair.

After changing resources, complete a customer booking and reopen it in Bookings. Check the allocated resource, time and status; a saved resource by itself does not prove that the service can be booked.

If a time is still unavailable, see Why a time isn't offered.
