Set up scheduled sessions

Publish a physical session with dates, a venue and capacity, then close new bookings without cancelling existing reservations.

Updated 22 October 2026

Use the web or mobile Catalog item editor to publish a physical session. A session exists before anyone reserves a place. Customer session booking, automatic passes and admission are still being connected.

Before you start

You need permission to change Bookings. Save Scheduled session under How customers book, publish the item, and connect its published booking rules. Set one per-place price. Sessions using staff, rooms or equipment as shared hosting resources are not supported in this first version.

Choosing Event or Class / Session under Booking settings type only changes the settings view. It does not enable sessions or apply defaults.

Publish a session

  1. Open the saved item's Booking settings and find Scheduled sessions.
  2. Enter Session start and Session end. Times use the timezone shown above the form. The end must be after the start, and the session must start in the future. Times skipped or repeated by a clock change need another unambiguous time.
  3. Choose a business venue, or choose External venue and enter its name and address. An external venue can differ from your business address.
  4. Enter Total places and Payment hold minutes. A group limit cannot exceed the total places. The payment hold is between 1 minute and 1 day; a customer's hold cannot extend beyond session start.
  5. Enter each capacity group's name and available places. Groups share the total limit; they do not add extra places beyond it. All groups currently use the same per-place price. Use Add capacity group when needed.
  6. Select Publish session. Wait for the publication result and the session to appear in the list.

After publication, use Add another session to begin a separate session. Published dates, venue and capacity cannot be edited in this first version. A session retains its accepted venue facts even if the reusable business location is later edited.

If publication is uncertain

If the connection drops after you publish, Retry publish keeps the same request and facts. The form stays fixed while that request is unresolved. Retrying returns the existing session if it was already published, instead of creating a duplicate. A clear setup refusal lets you correct the settings and try again.

Close bookings

Select Close bookings beside an open session and review the confirmation. Closing stops new reservations. It does not cancel existing reservations, refund payments or change their accepted venue. Repeating the same close request does not close or cancel anything else.

What this does not enable yet

Publishing a session does not itself open a customer booking channel or issue a pass. Online joining details, shared hosting-resource reservations, varied ticket-type prices, waitlists, recurring-session generation and changes to published sessions aren't available through this setup yet.
