Repeat bookings

Create a series of appointments and review its booked, skipped and upcoming dates.

Updated 22 October 2026

A repeat booking is a rule, not an appointment. It books the real appointments up to 90 days ahead and adds more as time passes. This is a staff scheduling task; each created date is a separate appointment.

Set one up

Choose Repeat on a customer's appointment, or go to Bookings, choose Add booking and select Repeat booking under Booking type. Choose the customer and a bookable Catalog item directly; an Inbox isn't required.

  • From an appointment, that appointment is the first date, and the customer, service and time come from it. It has to be booked, not held for a payment, and not started yet.
  • How often and Every: daily, weekly or monthly, and how many of those between dates. Weekly every 2 is fortnightly. Monthly lands on the first date's day of the month, or the last day of a shorter month.
  • Days: for weekly, pick two and it runs twice a week. The first date's own day has to be one of them.
  • Ends: After a number of dates, or On a date within two years. One of the two is required.

Up to 90 days ahead is the most we book. If your booking setup lets customers book less far ahead than that, we stop there too.

Each date is an ordinary appointment

Cancel one, move one, or record who turned up, and the rest carry on. Moving one moves only that one, and it stays part of the repeat. The customer gets the usual reminders.

We don't send a booking confirmation for each date.

A clash skips that one date

If somebody already holds 10:00 on one of those Tuesdays, that Tuesday is skipped and the rest are booked. Open the repeat to see its dates. A skipped one says Skipped and why, such as Time already booked or Closed that day. It isn't tried again.

Whose hours apply

Catalog repeat bookings follow the service's booking hours, closed dates, capacity and pricing. The first date must have an available time; later clashes are skipped and shown on the repeat. A service entered outside Catalog retains the existing staff scheduling behavior. Payment collection for repeat dates is described below.

Minimum notice doesn't apply either way.

Ending a repeat

Open Actions on the repeat and choose End repeat. No new dates are booked.

Tick Also cancel the booked appointments still to come to clear them too. Leave it clear and they stay booked. You've promised those to somebody, so let them know.

An appointment that has started or already happened is never touched.

What it doesn't do

  • A repeat date does not wait on its own deposit hold. Repeat appointments are created confirmed, without a separate prepayment hold for each occurrence. If the service is chargeable, ask for payment on the relevant appointment and check its payment record separately. A confirmed repeat date is not proof the customer paid.
  • It doesn't change dates already booked. To change the time, end the repeat and set up a new one.

When it doesn't work

The repeat booked fewer appointments than expected. A skipped date still counts toward After a number of dates. Open the repeat to see which dates were skipped and why.

Repeat isn't offered on an appointment. It's held for a payment, has started, or is already part of a repeat.

Qyra asks me to choose the booking again. The booking couldn't be verified or is no longer available to repeat. Choose a current booking, or ask for a new repeat booking. Qyra won't substitute another customer's booking or treat a missing selection as permission to create a new repeat.

A date far ahead isn't booked yet. We book up to 90 days ahead, or less if your booking setup says so. The rest are added as they come into range.

A date could not be created. Check the repeat's dates and the saved appointments before creating a replacement. A temporary problem creating a booking is different from a recorded skipped date; a date waiting to be retried may still be created. Ask the Qcom team to investigate an outcome you cannot establish.
