Manage your team and roles

Invite people to your workspace, give each one the right role, and see who is still waiting on an invitation.

Updated 22 October 2026

Settings → Team is where you add the people who work in your workspace and decide what each of them can see.

How it works

Three things decide what a teammate can do.

  • Their role. Chosen when you invite them, and shown as a badge beside their name.
  • Your plan. It sets how many people you can have. The card header shows the maximum, the line under the table how many you've used.
  • Their invitation. Nobody has access until they accept the emailed invite, and the link is valid for 3 days.

Pending invitations reserve a team seat until they expire, are declined or are cancelled. The same person counts once across workspaces that share a plan. If the plan’s capacity changes before they accept, you may need to free a seat first.

Only an Account owner or a Workspace admin can add or remove people.

The roles you can give

  • Workspace admin — everything, including team and billing
  • Operations — contacts, campaigns, messaging, workflows, templates and day-to-day sending
  • Marketing officer — segments, templates, campaigns and contacts, with lighter operational access
  • Accountant — billing and financial visibility, mostly read-only
  • Support agent — live chat, support tools and knowledge base
  • Viewer — read-only across the core areas
  • Custom member — you pick the areas yourself

Account owner is the person who created the workspace, and isn't a role you can hand out here.

Building a custom member

Pick Custom member and you get a choice. Leave All standard modules on and they get the ordinary areas. Switch it off and you choose area by area, ticking View, Edit, or both.

Some areas also list Sensitive actions. These are never included automatically — tick each one you want that person to have.

Give someone Developer access

Developer access is added alongside a person's role without replacing their other permissions. Owners and admins can change it for members and pending invitations. See Manage Developer access for setup, limits and removal.

Add someone

  1. Open Settings → Team.
  2. Choose Add Team Member.
  3. Enter their email address.
  4. Pick a Workspace role, and set module access if you chose Custom member.
  5. Send the invite. We'll email them a link. People who already have a Qcom account must accept too; sending the invite does not give them access.

The invited person opens the invitation link and signs in with the invited email address to accept or decline. Accepting adds the membership; choosing a workspace is a separate step.

On Scale and Enterprise, you'll also see Also add to other workspaces — tick any other workspace you own or admin and give them a role there in the same step.

Keep the team tidy

The Invitations card shows every invite and where it got to — Pending, Accepted, Expired or Declined. Use Resend when a link expired or the email was missed.

Use Cancel invitation to withdraw a pending invitation. The old link stops working. Resending replaces the previous link.

Work across businesses

One account can join several businesses. The switcher separates Your workspaces from Member of and shows your role. Choose the individual workspace you want to open; related workspaces still have separate access.

When sign-in needs a workspace choice, choose one from Workspaces. The app remembers a successful choice for your account on that device or browser. If you no longer have access, choose another workspace. With only pending invitations, you can review them before opening a workspace.

The Can assign conversations switch on each row decides whether that person can hand an Inbox conversation to a teammate. Owners and admins can always assign.

Remove takes someone's access away for good. It doesn't delete the work they did.

When it doesn't work

  • You can't see the Team tab. It stays hidden until your workspace has submitted its verification details, and it isn't offered on personal workspaces.
  • You've used every seat. Free workspaces include 1 person, Pay as you go and Starter 2, Growth 5 and Scale 15; Enterprise is unlimited. Remove someone or move up a plan.
  • You want to add or remove Developer access. Use the access switch; do not remove and reinvite the person. Their other permissions stay unchanged.
  • Developer tools are not available. Ask your workspace owner to check your access and the workspace's feature eligibility. Assigning the preset does not change the plan.
  • They never got the email. Ask them to check spam, then use Resend.
  • Create a workspace
  • Manage integrations
  • Your plan and what it includes
  • Decide who handles a conversation
